Live Event Printing: On-Site Custom Apparel & Merch

Live event printing turns a giveaway into an experience. Instead of handing out pre-made swag, you bring a working print station to your venue and let guests watch their custom apparel get pressed, printed, and finished in real time. The line itself becomes the attraction — and every person who walks away wearing your brand keeps wearing it long after the event ends.

At Merch Troop, live event printing is what we do. We pack a full mobile print shop into a clean, on-brand setup and run it on-site at conferences, trade shows, festivals, brand activations, and corporate events across Los Angeles, Orange County, Las Vegas, San Diego, and nationwide.

What is live event printing?

Live event printing (also called on-site printing or live printing) is the process of customizing apparel and merch at your event, while guests wait. A trained crew arrives with presses, heat equipment, blanks, and your artwork loaded and ready. Guests pick a design, size, or color, and the crew produces the finished piece in a couple of minutes.

It works across nearly every decoration method:

  • Live screen printing — the classic "watch the squeegee" station, ideal for bold one- to three-color designs at high volume.
  • DTF heat-press printing — full-color, photo-quality transfers pressed on demand. The most flexible option for detailed or multi-color art.
  • UV DTF — raised, durable transfers for tumblers, drinkware, and hard goods, not just shirts.
  • Embroidery — premium stitched hats and patches for a higher-end feel.
  • Patch bars — guests choose and apply patches for a build-your-own piece.

Most events use a combination. We help you pick the mix that fits your crowd, your budget, and the look you want.

Why brands choose live printing for events

A printed t-shirt that someone watched get made carries more weight than one pulled from a box. Live printing delivers on three things every event organizer cares about:

  1. Foot traffic. The station draws a crowd. People stop, watch, and line up — which is exactly what you want at a booth or activation.
  2. Dwell time. While guests wait for their piece, they're standing at your brand, talking to your team. That's qualified attention you can't buy with a flyer.
  3. Take-home value. Custom merch made on-site doesn't end up in a hotel trash can. It gets worn, posted, and remembered.

What's included in a live printing setup

Every Merch Troop activation is staffed and equipped end to end. A standard setup includes:

  • A trained 2-person crew (scalable for higher-volume events)
  • Professional presses and equipment, clean and on-brand
  • Blank apparel or hard goods, sourced and staged for you
  • Your artwork prepped and print-ready before we arrive
  • Setup, teardown, and on-site management

You show up, the station runs, and your guests leave with something they made.

How much does live event printing cost?

Pricing depends on event length, location, the print method, and how many pieces you want to move. As a baseline, our live event rate starts at $250/hour for a two-person, two-machine station, with additional staff available at $125/hour when you expect heavy volume.

For local events in Los Angeles, Orange County, and San Diego, most full activations land in the $5,000–$7,500 range once apparel, crew, and equipment are included. Events outside that area add travel. Nationwide and multi-city activations are quoted custom.

The fastest way to get an accurate number is to tell us your date, location, expected guest count, and the look you're going for. Request a quote and we'll build it out.

Plan your live printing activation

Live event printing books up fast around conference and festival season, so the earlier you lock a date, the better. Whether it's a 200-person corporate mixer or a 5,000-attendee trade show floor, we'll scope the right setup and staffing.
